Write a security daily activity report with a complete example and a free fillable PDF template. Review real checkpoint records in PatrolTech.
Video transcript
Introduction
What should a security officer write in a daily activity report when patrols took place but no major incident occurred? In this tutorial, we will build a complete shift example and give you a free template. Then we will review real records in the PatrolTech demo account and generate a scan certificate. You will see what each document shows and which observations still need to come from the officer.
1 · Daily report, incident and visits
A daily activity report, or DAR, summarizes a shift. An incident report explains one specific event. A checkpoint log lists scans at patrol locations. These records complement each other. A scan alone does not describe the condition of a door, the reason for a check or an issue left for the next shift. Five scans do not automatically mean five completed patrols. The goal is to combine verifiable records with a clear summary that a supervisor or client can understand.
2 · Structure your report
Use four sections. First, identify the site, date, shift and reporting officer. Record actual times and check the time zone. Second, list activity in chronological order: time, area checked, observation and action. Third, reference incidents and notifications. Link to the specific incident report when one exists, without copying unnecessary details. Fourth, record the end-of-shift status and outstanding handover items. If a check was not performed or information is missing, say so. The free template separates these sections so that the whole shift does not become one vague sentence such as all clear.
3 · A complete shift example
This is a fictional training example, separate from the real checkpoint records shown later. The assignment is at the Demonstration Building on October sixteenth, twenty twenty-six, from eight to ten p.m. At eight, the officer starts the shift and reviews the post instructions. At eight fifteen, the officer checks the entrance and parking area; no unusual conditions are observed in those areas. At eight forty, a light is found off in the north corridor. At eight forty-two, the officer notifies the supervisor and references the maintenance note for this exercise. At nine thirty, the officer checks the route again; the light is still off. At ten, the officer hands over the outstanding maintenance item. The summary does not claim everything is resolved. It identifies the checks, notification and follow-up still required. In a real report, include only checks and actions that actually took place.
4 · Review and generate the document
Now let us review real records in the demo. Open Scans and filter by the patroller. The list shows the checkpoint, officer and date for each visit. We have five scans here: repeated tests at two checkpoints, not five completed patrols. To generate the document, open Certificate, choose its language and time zone, and select October fifteenth from midnight to eleven fifty-nine p.m. Generating it downloads a PDF. We checked the file: it contains five scans, one patroller and two checkpoints. This document supports a review of visits during that period. A daily activity report, including observations and handover notes, remains a separate document.
5 · Review before sharing
Before sending anything to a client, check the organization, site, dates, time zone and included records. Open the downloaded file. Do not assume it repeats every filter visible on the screen. In our Excel test, the export also included records from other dates and officers. Review its scope before sharing it. Also check that your narrative does not attribute more to a scan than the record shows. A recorded visit can support your timeline. It does not replace the description of the inspection or automatically confirm that the entire assignment was completed.
