Start with the example
“Someone forced the door. Everything is under control.” Would you put that sentence in a security incident report? Here is a clearer version that separates what you observed from what you assumed. This is a fictional example of an open door found during a patrol.
1 · Describe what you observed
Start with the observation: at ten ten p.m., the north entrance door was open. You did not see anyone from your position. Add the date, the exact location, and who made the observation. “I did not see anyone” does not mean “there was nobody anywhere in the building.”
2 · Facts versus assumptions
An open door does not prove that someone forced it. If you observe damage, describe it precisely and attach a photograph when appropriate. If the cause has not been confirmed, leave that check outstanding. The report should show what you know and what still needs to be verified.
3 · Record the action and status
Next, record what you did: notified the shift supervisor at ten twelve p.m. Then state the status accurately: review pending. “Everything is under control” does not say who acted or what remains outstanding. Update the resolution once it has been verified.
4 · Review the record and evidence
PatrolTech brings the incident and its details together in the dashboard. This is a real recording from our demo account. The writing example is fictional and does not describe the incident shown here. Review the record, notes, and supporting evidence before sharing the report.
